Who we are

What we collect
Contact details you give us (name, business name, email, phone); identity documents for anti-money laundering checks; financial records needed to keep your books; and website usage data collected by Google Analytics, only if you accept analytics cookies. See our cookie policy.
Why we use it and our lawful basis
To reply to enquiries and provide our services (contract); to carry out identity checks and keep records required by anti-money laundering law (legal obligation); to run and improve our business (legitimate interests); and to send marketing emails only if you opt in (consent).
Who we share it with
Trusted providers who help us deliver the service, such as Xero, our website and email host, Google (for website analytics, only if you accept analytics cookies), and the qualified accountants we work with, under contract; and authorities such as HMRC or the National Crime Agency where the law requires it. We never sell your data.
Where your data is stored
Some of our providers, including Xero and Google, may store data outside the UK. Where they do, the transfer is protected by UK adequacy regulations or appropriate safeguards such as the ICO's International Data Transfer Agreement.
Where we get your data
Mostly from you. We may also use identity verification services and public registers such as Companies House to complete anti-money laundering checks.
How long we keep it
Enquiry data for 12 months if you don't become a client. Client records for as long as we work together and then as required by law, including anti-money laundering records for at least five years after the relationship ends.
Your rights
You can ask to access, correct, delete or restrict your data, object to its use, or move it to another provider, and withdraw consent at any time. We don't make decisions about you by automated means alone. Contact us at hello@soamesassociates.com and we'll respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).
